These Terms & Conditions govern all services provided by GeoStitch Fine Embroidery (“we”, “us”, “our”). By placing an order, submitting artwork, or using our website, you agree to these Terms.
2. Services Provided
GeoStitch Fine Embroidery offers:
Custom embroidery
Digitising of artwork for embroidery use
Garment and product personalisation
Bulk embroidery production
Frame embroidery for display
3. Quotes & Pricing
All quotes are valid for 14 days unless otherwise specified.
Prices may vary depending on stitch density, garment type, complexity, or deadline.
Bulk discounts are provided during the quotation phase.
Any changes made after quote approval may affect pricing.
4. Digitising & Approval Process
Digitising of artwork typically takes 1–2 working days.
A digital proof (stitch preview) is sent to the customer for approval before production.
Production will not begin until the customer confirms the digitised preview.
Any requested changes may alter delivery dates.
5. Production Times
Production time begins after digitisation approval. Estimated production times:
Production Time
1–15 items - 1 working day
16–30 items - 2 working days
31–75 items - 3 working days
76–200 items - 4 working days
200+ items - Agreed during quotation
These timelines may vary for complex designs, thread changes, specialty garments, or high order volumes.
6. Deadlines & Events
During the order form process, customers may provide a deadline or event date. We will confirm during the quotation stage whether this deadline can be met.
GeoStitch Fine Embroidery is not responsible for missed deadlines caused by:
Late approvals
Last‑minute artwork changes
Delays in customer communication
Courier delays or shipping issues
Supplier delays for custom garments
7. Customer-Supplied Garments
We accept customer‑supplied garments at your own risk.
While we take great care, embroidery machines can occasionally damage garments.
GeoStitch Fine Embroidery is not liable for replacement costs of customer-supplied garments.
8. Returns & Refunds
Because products are custom-made:
Returns are not accepted unless there is a clear fault in workmanship.
Refunds are provided only in cases of:
Incorrect embroidery due to our error
Quality issues that do not meet the approved proof
Faulty items must be reported within 7 days of receiving the order.
Refunds do not cover:
Errors present in the artwork supplied by the customer
Incorrect sizes, colours, or text provided by the customer
Damage caused by misuse or incorrect garment care
9. Artwork & Copyright
By submitting artwork, the customer confirms they own the rights or have permission to use it. See “Artwork Usage & Copyright Terms” below for full details.
10. Payments
Payment is required before production begins unless otherwise agreed.
Quotes may include partial deposits for large orders.
Payment methods accepted:
Bank transfer
PayPal link
Card payment link (if applicable)
11. Cancellations
Orders cannot be cancelled once digitisation has begun.
Orders cannot be cancelled after approval of the digitised preview.
12. Limit of Liability
GeoStitch Fine Embroidery is not responsible for indirect or consequential losses.
Our liability is limited to the value of the order.

Artwork Usage & Copyright Terms
1. Ownership of Artwork
By submitting artwork, logos, images, or designs to GeoStitch Fine Embroidery, you confirm:
You are the copyright owner, or
You have full permission and legal rights to use the artwork.
2. Customer Responsibility
GeoStitch Fine Embroidery is not responsible for copyright infringement caused by customer‑submitted artwork. You accept all liability for:
Trademarked logos
Copyrighted characters
Registered brand material
Military insignia (where applicable)
Corporate branding
Any protected imagery
3. Artwork Usage
We may use photos of completed work for:
Website gallery
Social media (unless requested otherwise)
Portfolio displays
If you wish to opt out, please notify us at ordering stage.
4. Digitised Files
Digitised embroidery files (DST, PES, EMB, etc.) remain the property of GeoStitch Fine Embroidery unless otherwise agreed.
Customers may request a copy of their embroidery file for a fee.
Editing of GeoStitch-created embroidery files by third parties is not permitted without consent.
Digitising Policy
1. What Digitising Includes
Conversion of artwork into an embroidery-friendly file
Stabiliser evaluation
Stitch type selection (satin, fill, run)
Density & underlay optimisation
Colour mapping
Test simulation (if required)
2. Approval Requirement
A digital proof is sent to the customer. Production will only begin once:
The customer has reviewed the preview
All requested changes are final
Written/email approval is received
3. Revision Policy
Includes 1 free revision
Additional revisions may incur a fee depending on complexity
4. Accuracy Guarantee
We aim for:
0.1 mm stitch tolerance
High accuracy on fine detail
Best-match colour reproductions using your supplied image or brand guidelines
Returns Policy
1. Because embroidery is custom-made, returns are extremely limited. Returns Accepted ONLY IF:
The finished embroidery does not match the approved proof
The stitching quality is defective
The wrong colour, placement, or garment was used due to our error
2. Returns NOT accepted for:
Customer-supplied garments damaged by machine embroidery
Incorrect spelling, colours, or sizes provided by the customer
Changes requested after production has begun
Wear-and-tear or improper garment care
3. Reporting Issues
You must report faults within 7 days of receiving your order. Provide photographs and your order number when contacting us.
